Position

The role of the Senior Project Manager is to plan, execute, and finalize projects according to strict quality standards, deadlines and within budget while maintaining high levels of quality, safety and customer satisfaction. The Senior Project Manager serves as the leader of the execution of the project and is supported by team members to carry out day to day tasks. This includes acquiring resources and coordinating the efforts of team members and subcontractors in order to deliver projects according to plan and budget. This position reports to the VP of Implementation.

Duties

ESSENTIAL FUNCTIONS 

  • Works in collaboration with Design Leader to lead project from start to finish

  • Responsible for oversight of support roles on the Project Team

  • Strategically consults and adds value to internal team

  • Meetings: Schedule and facilitation of meetings and/or presentations (internal/external) including establishing meeting agendas, meeting documentation, management of DRIs, and required follow-up; Coordination of travel for project team as needed; Responsible for special design event coordination which could include hosting of sandboxes, site visits, prototype presentations, etc. in collaboration with the Design Lead

  • Budget: Management of project margin with regards to the overall scope and contract of the given project(s) and responsible for communicating with internal and external teams on financial implications that may arise throughout the lifetime of a project; Management of project margin by tracking expenses and internal resource utilization through weekly and monthly reporting and Margin Assessment Tools

  • Contract Management: Responsible for collaboration with Sales and Legal Teams on review of contract; Creation and modification of Production Quotes, Change Orders, Payment Applications and any other required documentation

  • Project Schedules: Responsible for development, modification (as needed), delivery (internal and external) and execution of the Project Schedule throughout the lifecycle of the project. May require integration of project schedule with overall construction schedule

  • Resource Management: Internal management of design, story, fabrication and installation resources based on project schedule, scope, and budget

  • Architectural Integration Documents: Manage and execute the internal development of document set, coordination and collaboration with external parties, management of the execution of external parties to ensure desired outcomes are met

  • Estimating and Feasibility: Management and development of estimating and feasibility assessments of designs based on budget and timeline

  • Client Feedback: Obtain client feedback, disseminate, monitor/vet/validate completion and execution of feedback within designs in collaboration with Design Lead

  • Project Tracker: Responsible for Project Tracker development and completion throughout the project lifecycle in coordination with other Project Team members

  • Materials Selection: Collaboration with Design Lead on material selection based on budget, timeline, feasibility, and overall design intent. Responsible for procuring samples/mock-ups and obtaining approval of samples/mock-ups from client and external parties

  • Content Assimilation: Responsible for oversight of Content Assimilation Process in collaboration with Story Team

  • Vendor Management: Responsible for overall communication with vendors, holding vendors accountable to deadlines and complete routine checks on progress in collaboration with Project Team members

  • Master Planning: Manage the development, consistency and implementation of Project Master Plan with regards to project FADE structure and floor plans

  • Site survey: Oversight of scheduling, execution, dissemination and review of site surveys

  • Installation: Responsible for scheduling and execution of installations including but not limited to creation and review of Work Action Plans and Punch List Documentation; Coordination with Installation Lead required

  • Production Documents: Responsible for document development, internal reviews, external delivery of documents, obtaining approvals, and full execution of documents. This may include but not limited to obtaining shop drawings and e-proofs from vendors, integrating vendor shop drawings/e-proof into Production Documents and management of any revisions necessary based on client feedback; collaboration with Technical Team on design development and document execution

  • Invoicing and Payment: Responsible for invoicing clients as specified by contract. Responsible for vendor payment at the project level.

  • File management: Responsible for ensuring all documents are archived in the correct location within Advent standard operating procedures including but not limited to file server, Procore, Google Drive, etc.

  • Digital Experiences: Coordinate and ensure execution of Digital Experience Team milestones and deliverables

  • Responsible for individual monthly expense reporting

  • Project Closeout: Responsible for development and delivery of closing documentation set, final project financial report, materials archive and project completion summaries.

  • Perform other duties as assigned

Qualifications

REQUIRED QUALIFICATIONS: 

  • Bachelor’s Degree required in Engineering/Industrial Design/Construction Management or related field

  • Relevant experience in related field may be evaluated on a case-by-case basis

  • Strong familiarity with the following software: Google Suite, Adobe Creative Suite, Procore, relevant Project Management Software and Mac platform; SketchUp proficiency preferred

  • Experience with managing a team of two or more people

  • Ability to manage multiple projects simultaneously, ability to multitask and prioritize as needed

  • Experience with basic construction and finish materials, as well as, technical and architectural documents

  • Portfolio of hands-on fabrication/construction experience required

  • The ability to travel as required

REQUIRED EXPERIENCE:

5 to 10+ years ​of work experience in a Project Management role within the construction,  architectural, or engineering industry

  • Reaching, standing, walking, lifting, grasping, talking, hearing and repetitive motion.
